Letters of Support
Goal
NFC is asked to write letters of support for other organizations and agencies projects from time to time. While we are willing to do this, there are some basic guidelines we need chapters to follow.
Guidelines
Projects must adhere to NFC mission and policies
No form letters allowed
Reply to requestor that NFC does not use form letters
Ask if a custom letter is acceptable
If not, politely decline the request
Letter must not oversell the benefits of the project
NFCs reputation is on the line
It makes no sense to hurt your reputation for someone else’s project
Letter must not ignore other known related problems

Reciprocity - Fair is fair…
Decline the request if it comes from an agency or organization that has demonstrated a lack of reciprocity in regard to NFC in the past.

Format:
Single page is best for letters of support
Font: Calibri
No bold
No italics
Font Size: 11
Justify: Left
Spacing:
Double space after sentence
Single space between lines
Blank line between paragraphs
Do not indent as many web tools do not support it
Signature Line:
In most cases, letters should come from the Chapter Chair (regardless of who drafts the letter)

If a board member other than the Chair has a personal relationship with someone such as a potential local business sponsor, it is acceptable for that board member to sign their own name with NFC title.
Always CC as below, and send the email accordingly:

NFC Alabama Board
Include at the bottom: "Sent via electronic mail".
Draft and Approval Process:
Chapters will generate a basic position on an issue and then assign a member to conduct further research and draft a letter on behalf of the chapter.
Drafts will be shared with the rest of the chapter for input and approval.
Upon approval, drafts will be forwarded to the applicable National Vice Chair for review, input, copy editing, and final approval.
Submission:
Letters should be sent via email unless a hard copy is requested.
Letters should be saved in PDF format and attached to an email.
Do not email Word documents as they can be modified.
